Full-time $20.00 per hour

 

SUMMARY

The primary purpose of this position is to perform clerical duties related to Municipal Court cases. Responsibilities include answering phones, providing information, receiving and reviewing documents for court filings, docketing, maintaining case files, and basic arithmetic. Communicate with judge, magistrates, attorneys, and the public regarding cases or general court information. This position reports directly to the Clerk of Court and to the Chief Deputy Clerk.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES – DEPUTY CLERK include the following (other duties may be assigned):

 

  1. Follow all judicial directives, practices, and orders governing the administration of court business; be familiar with the Court’s Local Rules governing court procedures; possess a working knowledge of the judicial process and case administration.

 

  1. Accept, timestamp, and promptly file and process Court pleadings; docket appropriate case information; prepare case files; track and record case activities through completion.

 

  1. Answer and respond to public telephone inquiries; transfer calls to appropriate staff members and assist Court visitors.

 

  1. Receive and receipt fines, fees, and bond payments; monitor cash drawer; balance and reconcile daily cash receipts.

 

  1. Open, review, time stamp, log, and distribute daily mail.

 

  1. Receive, review, and respond, to public records requests.

 

  1. Generate court documents, forms, and letters as needed.

 

  1. Accurately scan documents into cases and timely process documents faxed to the Court.

 

  1. Prepare commitment papers for defendants who are sentenced to jail; monitor and promptly process protection order documentation.

 

  1. Complete any other jobs assigned in relation to the Clerk’s Office.

 

  1. Provide quality service that continuously improves, that meets or exceeds public expectations, and that ensures all are treated with courtesy, dignity, and respect (including, e.g., judicial officials, parties, attorneys, law enforcement, staff, the public, etc.).

 

  1. A Deputy Clerk is neither expected to nor permitted to provide legal advice.

 

  1. The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this position. It is imperative that deputy clerks are physically able to meet the physical demands of the job including, but not limited to, the ability to stand, or walk at least six (6) hours per day, and the ability to push, pull, or lift at least thirty (30) pounds at any given time.

  5. Be able to deal with public, co-workers, and various police agencies in a professional and friendly manner that encourages their cooperation with the Court’s instruction.
  6. Be able to demonstrate a good attendance and dependability record.
  7. Be willing to learn new things and can adapt to changing job roles.
  8. Must respect and honor the necessity for confidentiality characterizing the court’s work.
  9. Possess a valid Ohio Driver’s License.

 

EDUCATION and/or EXPERIENCE

Completion of high school is required. Knowledge of basic legal terms and the judicial process is desirable.

CRIMINAL BACKGROUND CHECK

Due to both the receipt of monies and the confidential nature of certain information handled by the Clerk’s Office, a criminal background check, which includes fingerprinting, will be conducted at the employer’s expense as a condition of employment, prior to commencement of employment as a Deputy Clerk.
